HubSpot CRM Review 2026: Pros, Cons and Real Team Costs

By CRM SortedFacts checked 25 Oct 2026Research-based
Verdicthubspot.com/products/sales

HubSpot suits small B2B teams that want a free or cheap CRM today and may add marketing or service tools from the same vendor later.

The trade-off is the jump to Professional: sequences, forecasting and custom reports start there, at $90 per seat per month billed annually plus a required $1,500 onboarding fee.

A five-person team pays $420 a year on Starter at the current limited-time price, or $6,900 in the first year on Professional.

Who HubSpot suits

Choose it when

  • Teams of 2 to 10 sellers who need a shared pipeline, email tracking, calling and meeting notes at a low per-seat price
  • Companies that want sales and marketing data in one CRM
  • Founders who want to start on a free plan and upgrade later

Look elsewhere when

  • You need email sequences but do not want Professional's seat price and onboarding fee. Pipedrive Growth includes automations and nurturing sequences. See details
  • You want to shape your own data model and use the API on any plan. Attio offers custom objects on Pro and API, webhook and MCP access on every plan. See details
  • You mostly manage contacts and relationships, not a multi-stage sales process. folk is a lighter, contact-first CRM. See details

HubSpot pros for a small team

A free CRM you can actually use

Free

The Free plan covers contacts, companies, deals, activity tracking, a Gmail or Outlook inbox connection and the mobile app for up to 2 users. HubSpot's US page still said "Free for up to 2 users" on 25 October 2026. Older reviews that say the Free plan has unlimited users describe an earlier version.

Starter covers daily selling for a small team

Starter

Starter removes HubSpot branding from emails and meeting links and adds calling with a HubSpot phone number, Notetaker for meeting recording and notes, task queues and simple workflows. Notetaker needs an assigned Core Seat on Starter.

Sales automation and forecasting on Professional

Professional

Professional adds sequences, forecasting, custom reports, lead scoring, playbooks and the LinkedIn Sales Navigator integration.

Call coaching built in

Professional

Professional includes conversation intelligence and 750 hours of call transcription a month per account; Enterprise has 1,500 hours.

Free View-Only Seats

Starter

People who only need to see data, such as a founder reviewing the pipeline, can have a View-Only Seat at no cost on every paid plan.

One platform if you grow into marketing and service

Marketing, service and content tools share the same CRM records, so you do not need to sync a separate tool when you add them.

HubSpot cons and limits by plan

Big price step to Professional

Sequences and forecasting need Professional, which is $90 per seat billed annually against $7 for Starter during the current offer, plus a required $1,500 onboarding fee.Source: HubSpot Sales Hub pricing page (US), 23 Oct 2026

Starter's low price is temporary

The $7 Starter price is a limited-time offer for new customers. HubSpot's catalog lists the Starter Core Seat at $20 a month, and the page does not say how long the offer price lasts.Source: HubSpot Product & Services Catalog, 23 Oct 2026

Seat types take time to understand

US Professional and Enterprise mix Sales Seats, Core Seats and View-Only Seats at different prices. In Europe, new customers see GTM and Ops Seats instead.Source: HubSpot Knowledge Base: Manage seats, 23 Oct 2026

AI use is metered

Agents such as the Prospecting agent use HubSpot Credits. Sales Hub Starter's 500 monthly credits cover 5 prospecting recommendations, and credit features pause when you run out unless you pay for more.Source: HubSpot Knowledge Base: HubSpot Credits, 23 Oct 2026

Hard to compare across regions

US visitors see Sales Hub pricing, while visitors from Finland and Germany see a different seats-and-credits model with other credit allowances and limits.Source: HubSpot pricing page (Europe), 23 Oct 2026

Annual commitment on Professional

On the US page, paying monthly for Professional still means committing to a year, and removing seats only changes your bill at the next term.Source: HubSpot Sales Hub pricing page (US), 24 Oct 2026

What users report

Ratings and the themes that come up most in public reviews and threads about HubSpot, checked 25 Oct 2026. Each platform is shown on its own; scores from different sites are never averaged.

G2 (HubSpot Sales Hub listing) and Capterra (HubSpot CRM listing) collect reviews of the product, while Trustpilot covers HubSpot as a company, and its recent reviews mostly complain about support, billing and annual contracts.

  • Everything in one place, and follow-ups get done

Users who stay with HubSpot most often credit having pipeline, tasks, follow-ups and reporting in one system. In a September 2026 thread on whether Sales Hub is worth paying for, several replies named sequences, task queues and reporting as where it earns its cost. Sequences need Professional.

“we used it for about two years with a team of six. the automation is where it shines honestly, sequences plus task queues cut our follow-up time in half.”
    r/GrowthHacking · 10 Sep 2026
  • The per-seat cost climbs fast as the team grows

The most repeated complaint is the price step once a team needs higher-tier features. Users describe paying for Professional seats while using only part of what the plan includes. The pricing page explains why: Professional is $90 per seat billed annually against $7 for Starter during the current offer, plus a $1,500 onboarding fee.

“If you used every single feature the Professional tier has, then it is 100% worth it. I'm willing to bet that most teams don't even scratch 30% of what they're paying for.”
    r/GrowthHacking · 16 Sep 2026
  • Support and billing draw the most complaints

HubSpot's recent Trustpilot reviews are mostly about support, billing and annual contracts, not about the product itself. If you expect hands-on help, budget for a partner or for the paid onboarding, and read the contract terms before you sign a yearly plan.

How these are picked: the themes that repeat most across review platforms and public threads, positive and negative. Quotes come from the last six months, are exact words, trimmed only where marked with “…”, and link to the original thread. No vendor pays to change them.

Who uses HubSpot

Examples from HubSpot's own case studies, checked 25 Oct 2026. Case studies are chosen and written by the vendor, so they show fit, not independent results.

  • RevenueWell

Software company selling patient engagement tools to more than 11,200 US dental practices

Uses Sales Hub and the Prospecting agent to send personalised outreach to practices that show buying intent.

HubSpot's case study says meeting booking rates rose from 8% to 20% and closed-won rates from 4% to 62% between February 2025 and February 2026.

AI in HubSpot

HubSpot is a long-established CRM that has added AI on top of its existing tools under the Breeze name. Breeze Assistant is included on every plan. Agents such as the Prospecting agent, Data agent and Customer agent run on HubSpot Credits, a monthly allowance included with paid plans (500, 3,000 and 5,000 credits on US Sales Hub Starter, Professional and Enterprise). Extra credits cost $0.010 each, and credit features pause when you run out unless you buy more.

For AI-native teams: MCP and API

You can connect Claude, ChatGPT and Gemini to HubSpot with its official connectors on every plan, including Free, so they can look up and update your CRM in plain language; coding tools such as Codex and Cursor take more setup. Agents can read, create and update records but cannot delete them through the connectors, and the Claude connector writes at most 10 records at a time. The API's daily limit grows with your plan, from 250,000 calls a day on Free and Starter to 1,000,000 on Enterprise, which is plenty for a small team's scripts.

Connect your AI tools to HubSpot

  • ClaudeIn HubSpot docs

In Claude, open Customize, then Connectors, find HubSpot in the directory and connect it, then sign in to HubSpot. It needs a paid Claude plan (Pro, Max, Team or Enterprise).

    Setup guide
  • Claude CodeIn HubSpot docs

Connect HubSpot in claude.ai first; it then shows up in Claude Code when you log in with the same Claude account. HubSpot also documents its Agent CLI (beta) for Claude Code, which you install and sign in to with hubspot auth login.

    Setup guide
  • ChatGPTIn HubSpot docs

Install the HubSpot connector for ChatGPT from HubSpot's marketplace listing, then sign in to HubSpot. HubSpot lists it for paid ChatGPT plans (Plus, Pro, Team, Enterprise and Edu).

    Setup guide
  • CodexIn HubSpot docs

HubSpot documents its Agent CLI (beta) for Codex: install it and sign in with hubspot auth login. To use the MCP server instead, create an MCP connector in HubSpot and run codex mcp add hubspot --url https://mcp.hubspot.com --oauth-client-id <id> --oauth-client-secret <secret>.

    Setup guide
  • Cursor

HubSpot's server needs a client ID you register yourself, so first create an MCP connector in HubSpot. Then add https://mcp.hubspot.com to ~/.cursor/mcp.json with the connector's client ID and secret in an auth block, and add Cursor's redirect URL to the connector.

    Setup guide
  • GeminiIn HubSpot docs

HubSpot's connector for Gemini works in Google Workspace apps such as Gmail and Docs, is read only, and a Workspace admin installs it from the Google Workspace Marketplace. Gemini CLI can also use the MCP server with your own HubSpot MCP connector's client ID in its settings.json.

    Setup guide

Server URL: https://mcp.hubspot.com

MCP server

Official
Plans
All plans, including Free. Some tools need specific hubs, such as quotes on Revenue Hub Professional.
Access
Read and write. The remote server reads and writes contacts, companies, deals, tickets, leads, custom objects, activities and some marketing content. The Claude and ChatGPT connectors can read, create and update records but cannot delete them. A separate Developer MCP server helps you build HubSpot apps and CMS content and does not work with your CRM data.
Setup
Remote server at mcp.hubspot.com with OAuth 2.1 sign-in (PKCE). For your own client you first create an MCP connector in HubSpot's developer settings. The quickest route is the official connector inside Claude or ChatGPT, which needs no code; the Claude connector needs a paid Claude plan (Pro, Max, Team or Enterprise). A Super Admin approves the connector for other users. The Developer MCP server runs locally through the HubSpot CLI and supports Claude Code, Codex CLI, Cursor, Gemini CLI, VS Code and Windsurf. HubSpot also has an Agent CLI in beta for Claude Code and other coding agents.
Limits
Search returns up to 200 results per page and a fetch takes up to 100 record IDs. The Claude connector creates or updates at most 10 records at a time. Sensitive Data properties are not available. Whether MCP use consumes HubSpot Credits is not documented.

API and webhooks

Plans
All plans, including Free
Limits
Private apps: 100 requests per 10 seconds and 250,000 a day on Free and Starter; 190 per 10 seconds and 625,000 a day on Professional; 190 per 10 seconds and 1,000,000 a day on Enterprise. An API limit increase add-on raises the burst limit to 250 per 10 seconds. Public OAuth apps get 110 requests per 10 seconds per account. Search endpoints have their own stricter limits.
Webhooks
Apps can subscribe to record events (up to 1,000 subscriptions per private app); the plan needed is not documented. Sending a webhook from a workflow needs Data Hub Professional or Enterprise.
Automation
Sales Hub Starter includes up to 50 simple workflows with restricted triggers and actions; Professional raises this to 300 full workflows (US). HubSpot's docs do not state plan requirements for Zapier, Make or n8n; they connect through the API, which every plan includes, and their calls count against your API limits.
Export
Every plan can export records such as contacts, companies, deals, tickets and custom objects to CSV, XLS or XLSX. You can run up to 300 exports in 24 hours, 3 at a time, and very large files are split. Activities such as calls, notes and emails are not in standard record exports, so you need reports or the API for those.
HubSpot API docs
What these terms mean
Credits
A usage allowance for AI. Each AI action (a summary, an agent run, an enriched record) uses some. Plans include a monthly amount.
MCP
Model Context Protocol. It lets AI assistants such as Claude or ChatGPT read and update your CRM directly, with your permission.
API
A way for your own scripts and tools to read and write CRM data. AI agents you build usually rely on it.
Webhooks
The CRM notifies your tools the moment something changes, such as a new deal, so an agent can react.

Setup and switching

  • Professional requires a one-time onboarding purchase of $1,500 and Enterprise one of $3,500 on the US page. Starter does not require onboarding.
  • In Europe, HubSpot's pricing page says onboarding is required for Professional and Enterprise but does not show the fee.
  • Seat removals only change your bill at the start of the next subscription term, so start with the seats you need now.
  • Decide early who needs a paid seat: view-only users are free, and on US Professional only sellers who need full Sales Hub features need a Sales Seat.

Integrations and API

  • Gmail, Outlook and Microsoft Exchange inbox connection on every plan
  • Two-way data sync with dozens of apps on every plan, and HubSpot says over 2,000 apps are available in its marketplace
  • LinkedIn Sales Navigator integration on Professional and up
  • HubSpot lists a connector for Claude on its site
  • Salesforce custom object sync on Professional and up (European platform edition)

FAQ

Is HubSpot good for small sales teams?

Yes, if Starter covers your process. It gives 2 to 10 sellers a shared pipeline, calling, meeting notes and unbranded emails at a low price. If you need sequences or forecasting, budget for Professional and its onboarding fee.

Is HubSpot AI-native?

No. HubSpot added AI to an existing CRM under the Breeze name. Breeze Assistant is free, and AI agents run on HubSpot Credits that come with paid plans.

What is the difference between a Core Seat and a Sales Seat?

A Core Seat gives access to the features of your plan's edition. On Professional and Enterprise, full Sales Hub features need a Sales Seat. View-Only Seats are free and only let people look.

Is HubSpot CRM really free?

Yes, for up to 2 users. On 25 October 2026 HubSpot's US Sales Hub page said "Free for up to 2 users. No credit card required." The Free plan includes contacts, companies, deals, activity tracking and an inbox connection, with HubSpot branding on emails and meeting links. A third user needs a paid Starter seat. Older reviews that say the Free plan has unlimited users describe an earlier version.

Is HubSpot worth it for a small team?

It is worth it if Starter covers your process. Five Starter seats cost $420 a year at the limited-time price, or $1,200 at the $20 list price, for a shared pipeline, calling and meeting notes. If you need sequences and forecasting, five Professional seats cost $6,900 in the first year with onboarding, and users often say teams use only part of what they pay for at that tier.

How much does HubSpot Starter really cost?

On 23 October 2026 HubSpot's US page showed Starter at $7 per seat a month billed annually, struck through from $20, as a limited-time price for new customers. HubSpot's catalog lists the Starter Core Seat at $20 a month. The page does not say how long the $7 price lasts, so budget for $20.

Which HubSpot plan includes Notetaker?

Sales Hub or Service Hub Starter, Professional or Enterprise. HubSpot's knowledge base says Starter needs an assigned Core Seat, while Professional and Enterprise need a Sales or Service Seat, so a Core Seat on Professional does not include it. The Free plan is not listed.

How hard is HubSpot to learn?

HubSpot Academy offers free online courses and certifications. Starter needs no paid onboarding, while Professional and Enterprise require a one-time onboarding package of $1,500 and $3,500 on the US page.

How hard is it to switch to HubSpot?

Starter needs no paid onboarding. Professional and Enterprise require a paid onboarding package, which on the US page costs $1,500 and $3,500.
